About the role
We are looking for an organised, proactive and approachable Legal Assistant to join our busy Private Client team in Warwick.
This is a varied role offering the opportunity to support our lawyers across a broad range of Private Client matters, including Wills, Lasting Powers of Attorney, estate and trust administration.
You will play an important part in the day-to-day running of matters, from dealing with clients and preparing documents to managing correspondence, maintaining accurate electronic files and supporting the practical administration of estates.
The role would suit someone who is highly organised, comfortable dealing directly with clients and able to manage a varied workload where attention to detail is essential.
Key responsibilities
Working closely with lawyers and other members of the Private Client team, your responsibilities will include:
- Providing day-to-day client and administrative support, including handling enquiries, appointments, Will and LPA requests and updating client and matter information.
- Preparing, scanning, filing and securely storing Wills, LPAs, trust and probate documentation, ensuring electronic files are accurate and up to date.
- Managing correspondence and post, including producing letters and emails and liaising with clients, executors, beneficiaries, charities and other third parties.
- Supporting file administration, updating the case management system, file opening and closing matters, maintaining key dates, raising invoices and assisting with billing.
- Assisting with the practical administration of estates, including payments, distributions, bank verification and arranging the delivery of personal possessions.
- Liaising with estate agents, contractors and other third parties regarding estate properties, including obtaining quotes and coordinating maintenance and other property-related requirements.
- Undertaking regular visits to properties within deceased estates where required for insurance purposes.
- Attending Will signing appointments to act as witness.
- Providing flexible administrative support across the Private Client team to ensure matters progress efficiently and clients receive a professional and responsive service.
About you
We are looking for someone who is:
- Highly organised with excellent attention to detail.
- Confident managing a varied workload and competing priorities.
- Professional, empathetic and approachable when dealing with clients, including clients who may be recently bereaved or in difficult circumstances.
- A confident communicator both over the telephone and in writing.
- Comfortable dealing with detailed administrative work and maintaining accurate electronic files.
- Proactive and willing to take ownership of tasks through to completion.
- Able to work effectively as part of a busy team while also working independently.
- Confident using IT and case management systems.
- Discreet and able to handle confidential and sensitive information appropriately.
Previous experience within a Private Client, Wills and Probate or legal environment would be an advantage.
Why join us?
This is an opportunity to become an integral part of an established Private Client team and undertake a role with genuine variety. You will be involved throughout the lifecycle of matters and have regular contact with clients, lawyers and third parties.
For someone who enjoys organisation, problem-solving and helping people, it offers much more variety than a traditional administrative role.
If you are an organised and personable Legal Assistant looking for a varied role within Private Client, we would be delighted to hear from you.
Please note, this role is five days a week office based in Warwick, but slightly shorter working days may be considered for the right candidate.
